Join the Team: We are Looking for a Community Operations Coordinator!

*This is a part-time, hourly, and on-site position.

CultureWorks Greater Philadelphia seeks a part-time (estimated at 25 hours/week) Community Operations Coordinator to join a small but dynamic and growing team. This position has potential to grow into a full-time, salaried position. CultureWorks is a nonprofit “management commons” model: a platform for sharing essential support systems for the arts and heritage community. This position reports to the Senior Fiscal Sponsorship & Community Director and works closely with the Community Operations Manager and Finance & Systems Manager to develop and maintain the highest level of quality in service delivery for both our fiscally sponsored members and shared workspace members.

The Community Operations Coordinator will be responsible for day-to-day shared workspace management, community engagement support, and administrative support along with special projects as they arise.

CultureWorks Greater Philadelphia provides arts and heritage organizations and creative professionals affordable access to the support and strategy they need to flourish.  We are a management commons offering shared services and space to our community of roughly 200 members and growing, from individual artists and creative professionals to arts, heritage, and creative organizations.

Position Roles & Responsibilities

MEMBER MANAGEMENT

  • Respond to client/member inquiries regarding space functionality.
  • Maintain presence at front desk including greeting visitors.
  • Receive packages/mail and notify recipients of their arrival.
  • Be available to our members to answer questions, respond to concerns, and offer resources.
  • Lead tours for guests and prospective members.
  • Orient new members to space and office systems.

FACILITIES AND SPACE MANAGEMENT

  • Keep office and kitchen supplies stocked, maintain vendor relationships, and maintain an inventory list.
  • Engage with and supervising out-of-house cleaning service.
  • Engage with building management to resolve maintenance issues.
  • Maintain the overall cleanliness of the space including decor, plant life, and furnishings.
  • Assess special technological or spatial needs for members or guests (if necessary).
  • Assist with setup and breakdown of events, including ordering food and beverages.

TECHNOLOGY

  • Manage our internet network’s reliability and connectivity.
  • Manage our printer, including setting up new members and dealing with maintenance issues.
  • Manage our security system, including key fobs and building access cards.
  • Engage with office systems and security vendors to resolve issues as needed.
  • Research new operations-related software and techniques for improving efficiency.
  • Manage memberships in Nexudus, our member and space/calendar management system.

COMMUNITY ENGAGEMENT SUPPORT

  • Research and develop member partnerships and discounts, and maintain updated database.
  • Provide support in updating CultureWorks website and membership resources.
  • Support Community Operations Coordinator and Finance & Systems Manager on larger projects.

  • Our office is entirely Mac-based: experience with recent Apple OS is preferred.
  • Experience with Google Workspace (Google Sheets, Docs, etc.).
  • General familiarity with the arts, culture, and heritage fields a plus.
